About TrackFleet

A practical, UK-focused Transport Management System built so HGV & PSV operators can stay compliant, organised and audit-ready without drowning in paperwork or huge software costs.

Why TrackFleet Was Developed

TrackFleet started life as a simple defect and maintenance tracking tool for a single operation. Like many fleets, everything else was spread across spreadsheets, paper files and different systems — PMIs in one place, driver records in another, fuel somewhere else, and very little joined up when it came to audits or inspections.

The aim wasn’t to build another flashy “portal”. It was to solve real problems that Transport Managers face every day: showing control, keeping records straight, and proving to DVSA and the Traffic Commissioner that the undertakings are being met.

TrackFleet has grown from that starting point into a full Transport Management System covering vehicles, drivers, maintenance, fuel, training, mileage and reports — but the principle has stayed the same: practical, compliance-first tools that help you run an operation.

Why We Also Built the Policy & Procedures Suite

As TrackFleet evolved, one thing became clear: many operators either didn’t have structured policies in place, or had paid a lot of money for documents that were never really used.

At the same time, DVSA and the Traffic Commissioners consistently expect operators to be able to show clear, written policies and procedures around vehicles, drivers, maintenance, record-keeping and management control.

The TrackFleet Transport Compliance Policies & Procedures Suite was developed to close that gap — a complete, DVSA-aligned policy framework that operators can actually use, without having to spend hundreds of pounds to get started.

That’s why the full suite is priced at £25 (PDF only) or £50 (Word + PDF) and included free with a 12-month TrackFleet licence. The goal is simple: every operator, from single vehicle to multi-fleet, should be able to put proper policies in place without price being the barrier.

What TrackFleet Helps You Manage

TrackFleet brings together your key compliance and fleet information into one place, including:

✅ Vehicles, PMIs & maintenance planning
✅ Driver records, licences, CPC & training
✅ Defects, rectification & follow-up
✅ Fuel usage, MPG & mileage monitoring
✅ Documents, policies & audit evidence
✅ Reports for operators, TMs & management

The system is there to support day-to-day control, reduce admin time, and make it easier to demonstrate that your operation is being managed professionally and in line with DVSA expectations.

Why We Offer Free Toolbox Talks, Guides & Resources

Not everything has to be behind a paywall. A big part of running a compliant operation is regular driver engagement and ongoing education, and that should be as easy as possible.

That’s why you’ll find a growing number of free Toolbox Talks and downloads available:

The logic is simple: better informed drivers and better organised operators help raise standards for everyone.

Who TrackFleet Is For

TrackFleet is designed for:

The licensing model is flexible — you can work with a single operator licence or multiple companies from within the same system, with no artificial limits on vehicles or users.

Why TrackFleet Is Different

There are plenty of systems in the market. TrackFleet focuses on a few simple principles:

The goal isn’t to replace good management — it’s to give Transport Managers and operators a set of tools that back up the work they’re already doing and make it easier to evidence control.

Future Development & Roadmap

TrackFleet continues to evolve, driven by feedback from operators, Transport Managers and consultants who use it in day-to-day work. The roadmap includes:

Whatever gets added, the focus stays the same: practical compliance, clear information, and realistic pricing that works for real-world operators.
